How To Plan and Conduct a Successful Meeting

Overview:
Many people are turned off by teams because of their bad experiences with meetings. They see meetings as a waste of their valuable time. A typical reaction is "when will this meeting be over, so I can get back to my real work?" It is true that many meetings are poorly planned and executed and, as a result, the time is wasted. And ineffective meetings are costly--consider the dollar and cents labor costs of the participants' time in one of your recent meetings--when the organization does not receive any value from the time invested. This half day workshop provides participants with the tools and techniques to plan and implement a successful team meeting.
Topics:
- Assessment. Begin with an evaluation of your current meetings, identify areas for improvement and target your learning.
- Alternative Means. Determine if a face-to-face meeting is necessary and explore different non-meeting communication tools.
- Planning. Learn how to prepare an effective meeting notice and agenda. Prepare an agenda for your next team meeting.
- Meeting Tools. Explore the basics of implementing a meeting such as setting up the room, using the right equipment/supplies, meeting duration, breaks, opening and closing a meeting.
- Meeting Monsters. Develop tactics for dealing with a variety of problem participants.
- Meeting Roles. Clarify the roles of leader, facilitator, scribe, timekeeper, parking lot attendant and sponsor.
- Improvement Planning. Integrate the learnings into a plan for increasing the effectiveness of your team meetings.
Format:
The workshop will include a variety of learning methodologies from lecturettes to assessment to hands-on practice exercises. Participants will assess their current team meetings, learn tools to improve their skills in planning and conducting meetings and leave the workshop with a plan for increasing the effectiveness of their meetings. A video highlights key meeting tools. Each person receives a meetings resource manual.
